Export and Import of voucher in Tally


Tally has an advantage feature of exporting and importing data. It's advantageous to know about Tally’s export and import capabilities, which enables Tally to interact globally. Statements and data from Tally can be exported to other programs like spreadsheets and databases. Only data from Tally can be imported and not data from other systems. Importing from other systems involves the usage of ‘Tally’s Definition Language’ TDL.

Export of Data
You might need to export information for different purposes, viz:
􀂇 To re-import data into another company run on Tally.
􀂇 To export data out to be used by other programs.

Exporting Masters
Step 1:
􀂇 Go to Gateway of Tally > Display > List of Accounts > click on Export.
􀂇 Tally first asks for the export format. The different formats are, ASCII, EXCEL, HTML and XML. The file-name extension will take the default format.

For example, since we have selected XML, the filename displayed will be Master.xml

Type of Masters – Any of the mentioned master types can be exported. Select All Masters and accept it to Export.

Exporting Data for Re-import into another Company
Step 1: Exporting Daybook
􀂇 Go to Gateway of Tally > Multi Account Printing > Daybook > click on Export.

Tally first asks for the language. Select Default (All Languages), then convert it into the export format. The different formats are: ASCII, EXCEL, HTML and XML. The filename extension will take the default format. For example: Selecting ASCII, results in the filename being displayed as Daybook.txt.
􀂇 Specify the other details as desired.
􀂇 Accept to export, Data exported from a company can be imported into another.

Import of Data
Step 1: Importing Masters
􀂇 Return to the Gateway of Tally.
􀂇 Shut National Traders and load Indus Enterprises (Ensure that it has the same financial year as the current company National Traders).
􀂇 Select Import of Data > Masters

􀂇 Type in the file name. The name and path of the source file should match. In this case the current directory is in use, hence you do not need to give the path.

􀂇 The opening balance can be modified from the exported source file. Carefully select, Modify with new data.
􀂇 Verify that the import is completed successfully.
Note: Data can be imported from the previous version, provided the Import filename is in the XML format, since Tally supports only the XML format.

Step 2: Importing Vouchers
􀂇 Return to the Gateway of Tally.
􀂇 Select Import of Data > Vouchers.
􀂇 Give the filename Daybook.xml.
􀂇 Check the statistics after import.

Export to Excel from Tally.ERP 9
Tally.ERP 9 now comes with the functionality, wherein all reports can be exported to Microsoft Excel spreadsheet. This feature enables you to export any report generated by Tally.ERP 9 into Excel.
To export the Trial Balance,
Go to Gateway of Tally > Display > Trial Balance
􀂇 Click on Export.

􀂇 Select Restricted (ASCII only).
􀂇 Select Excel (Spreadsheet) in Format.
􀂇 Type the name of file for Output File Name as required.
􀂇 Specify other details.

􀂇 Click Yes for Export.

􀂇 By default, the exported report in Excel format is saved in the Tally.ERP 9 folder. Open this file using MS-Excel to view the report.

    i want to import sales voucher from one tally to another, how to do it??

  2. Sales vouchers consist of data relating to stock items, sales account, debtors account and tax or vat account. So, at first you need to export all the masters. If any master is left, the data relating to that master can not be imported.
    Then go to Gateway of tally>Display>Statement of Accounts>Statistics>sales

    Select the date range of the data you need to export.
    Export it in xml format.
    Then import the master at first in another tally.
    After that, import the vouchers.

  3. But you need to be careful on importing because the opening balance also get imported with importing masters. It manipulates your opening balances.

  6. Sir I had a question,
    Is it possible to copy a company?
    ie "Company A" was already there from 2009
    i want a "new Company B" also from 2009 with all details from company A

    1. Your question is quite unclear.
      1. If you want to continue entry in company B with all financial data of company A:
      Ans 1: You can copy the company folder to another name. For that, you need to go to tally directory where you have placed your data. e.g. c:\\program files\tally.erp9\data and then select the folder of Company A. If you do not know which is company A in the data folder, just open tally and go through the directory where you can see file names after inserting file path. Copy the company A folder with different numerical number. Be noted the digits must be same. In ERP9, it is 5 digits so you are required to put 5 digits file name. Then go through the tally, rename the company to company B. This is the shortest technique.

      2. Company Split:
      The easy way is splitting the company where you get 2 new companies. One with all the opening balance from Company A, and another one is duplicate of company A. You need to go to cmp info or alt+F3, and select split company, then select company, you are asked for company name and date you want to split from. Then you will get the two new companies. Keep the required one, and delete the unnecessary one. It may take time to split depending upon the tally statistics.
